Aros Mains Accommodation is responsible for the personal information described in this notice. We respect your privacy and use your information only for the purposes set out below.

Information we collect

We may collect your name, postal address, email address, telephone number, booking and stay details, messages you send us, payment or transaction details, and technical information generated when you use our website. Payment card details are handled by our payment providers and are not used by us for marketing.

Why we use your information

• To answer enquiries and manage reservations, payments and your stay. This is necessary to provide the accommodation or take steps at your request before a booking.
• To keep accounting, tax and booking records and comply with our legal obligations.
• To protect our guests, property and business, prevent fraud and deal with disputes, where this is necessary for our legitimate interests or legal duties.
• To send email marketing only when you have actively subscribed or otherwise given valid consent.

We do not add previous guests to our marketing list simply because they made a booking.

Email newsletters

If you subscribe, we use your email address to send occasional news, availability and special offers. Mailchimp helps us manage subscriptions and deliver these emails. Every marketing email includes an unsubscribe link, and you can withdraw your consent at any time. We may keep a minimal suppression record after you unsubscribe so that we do not contact you again by mistake.

Who we share information with

We share information only where necessary with service providers that help us run the business, including Lodgify, Mailchimp, payment providers and relevant booking channels. We may also share information with professional advisers, insurers or public authorities where required by law. We do not sell your personal information.

International processing

Some service providers may process information outside the United Kingdom. Where this happens, we use providers that apply appropriate legal safeguards for international transfers.

How long we keep information

We keep information only for as long as it is needed. Booking and financial records are normally retained for up to seven years where required for tax, accounting or legal purposes. General enquiries are normally kept for no longer than 24 months. Newsletter information is kept until you unsubscribe or we no longer need it, subject to retaining a minimal suppression record.

Our website and booking system may use essential cookies needed for the site to work. Any optional analytics or marketing cookies should be controlled through the cookie choices presented on the website.

Your rights

Depending on the circumstances, you may ask us for a copy of your information, ask us to correct or delete it, restrict its use, object to its use, or ask for it in a portable format. You may withdraw marketing consent at any time without affecting earlier lawful use.
